At Fruitful Endeavors Bookkeeping, LLC ("we," "our," or "us"), we are committed to protecting the privacy of our Florida clients. This policy is designed to comply with the Florida Information Protection Act (FIPA) and other applicable federal and state regulations.
We collect "Personal Information" as defined under Florida Statutes § 501.171, which includes:
Identity Data: Names and business identifiers.
Transaction Data: Bank statements, credit card accounts, and documentation for business-related expenses.
Financial Access: Integrated access to QuickBooks Online, primary sales channels (e.g., Etsy, Wix, or Square), and Link My Books.
Business Data: Tax identification numbers (EIN), payroll records, and general ledger data.
In accordance with Florida law, we implement "reasonable security measures" to protect your digital and physical data:
2.1 Digital Security & Access Control
Multi-Factor Authentication (MFA): Access to all client files and integrated systems is strictly controlled. We require a six-digit code from Google Authenticator to verify identity and gain access to your sensitive digital records.
Encryption: We utilize 256-bit encryption for all stored financial data.
Secure Integration: Technical oversight of integrations like Link My Books ensures data flows securely between your sales platforms and QuickBooks Online.
2.2 Tangible File Safeguarding
Physical Protection: Any tangible files or paper records containing personal information are kept in secured, locked storage.
Controlled Access: Access to physical records is limited to authorized personnel only.
3. Breach Notification
Under FIPA, if we determine that a breach of security has occurred, we will notify you within 30 to 45 days (unless a shorter period is required by federal law) after the determination of the breach or notice to us by a third-party vendor.
We do not sell, rent, or trade your personal information. We disclose data only to:
Service Providers: Third-party cloud accounting software (e.g., QuickBooks, Xero) that also maintains FIPA-compliant security and with the authorized software providers included in your White-Glove Tech Stack or as required by Florida or Federal law.
Legal Requirements: The Florida Department of Revenue, the IRS, or other authorities as required by law.
Florida law requires the proper disposal of records containing personal information. Once the mandatory retention period (typically 7 years) has ended, we ensure that all physical documents are shredded and digital records are purged using "secure wipe" technology to make them unreadable.
